What does a contact profile contain in Novalya (and how to use it properly)?

Quick summary: Each contact has a complete profile to organize your tracking: personal information, links, profession, description, notes with history, and current pipelines.



Personal information


Contact profile contains the following information:


Identity:

  • First name
  • Last name
  • Email
  • Phone number


Professional:

  • Profession (visible as preview in CRM)
  • Brief description (visible as preview in CRM)


Profession and brief description appear as quick preview in CRM contact list, allowing quick prospect identification.




Contact profile includes quick access to:


Social networks:

  • Direct link to Facebook/Instagram profile
  • Direct link to Messenger/DM conversation
  • Other social networks (that you can add)


External:

  • Website
  • Other custom links


Useful for: Quickly accessing profile or conversation without searching.



Manual notes with history


You can add manual notes for each contact.


Features:

  • ✅ Add note
  • ✅ Edit existing note
  • ✅ Delete note
  • ✅ View complete history of notes


Each note displays:

  • Creation date and time
  • Note content
  • Modification history


Examples of useful notes:

  • Meeting context (group, post, birthday)
  • Personal situation (city, activity, project)
  • Objections or expressed needs
  • Next scheduled follow-up
  • Results from previous conversations



Current pipelines and tags


Contact profile displays all pipelines (tags) where contact is present.


What you see:

  • Name of each pipeline
  • Color of each pipeline
  • Current stage in each pipeline


Useful for: Seeing at a glance all contexts where you're tracking this contact.



How to access contact profile?


From CRM


  1. Open CRM (Facebook or Instagram)
  2. Click on contact in a pipeline
  3. Profile opens with all information


From Messenger/DM


  1. Open Messenger or Instagram DM conversation
  2. Click on contact information
  3. Access complete profile



How to enrich a contact profile?


Add information


To add or modify information:


  1. Open contact profile
  2. Click on field to modify
  3. Enter information
  4. Validate


Recommendation: Enrich progressively as your exchanges progress.


Add note


To add a note:


  1. Open contact profile
  2. "Notes" section
  3. Click "Add note"
  4. Write your note
  5. Validate


Note appears with:

  • Automatic date and time
  • Your note content



Usage best practices


Recommendations


For each new contact:

  • Note at minimum: context + objective + next action
  • Fill in profession if relevant
  • Add brief description visible in CRM


For your notes:

  • Keep them short and actionable
  • Mentally date important events
  • Note objections and responses


For organization:

  • Use pipelines to structure tracking
  • Move between stages as you progress
  • Regularly consult notes history

Information filled in:

  • First name: Marie
  • Profession: Sports coach
  • Description: Interested in nutrition
  • Note 1 (01/15): "Met in Paris Entrepreneurs group, looking for extra income"
  • Note 2 (01/20): "Sent product info, call back in 7 days"
  • Pipelines: "Hot prospects" (Conversation), "Q1 Campaign" (Contacted)



Example 2: E-commerce customer


Information filled in:

  • First name: Thomas
  • Email: thomas@example.com
  • Profession: Web developer

FAQ


Are notes visible to contact?


No. Notes are private and only visible to you in Novalya CRM. Contact cannot see them.


Can I export contact profiles?


CSV export is in development and will be available soon.


What happens if I delete a contact?


All profile information (notes, history, etc.) is permanently deleted. This action is irreversible.


Can I add custom fields?


No, for now fields are fixed. This feature might be added in the future.
