How to create a pipeline and choose its color?

Quick summary: A pipeline allows organizing your contacts Kanban-style. You choose a name and color, then Novalya automatically creates 3 default stages that you can customize.



Access CRM


  1. Open your Novalya space → app.novalya.com
  2. Go to concerned network's CRM:
  • Facebook CRM
  • Instagram CRM


Reminder: Facebook CRM and Instagram CRM are separate. Pipeline created on Facebook doesn't automatically exist on Instagram.



Create new pipeline


In left column (pipeline list):


Step 1: Click "Add pipeline" or "Create new pipeline"


Step 2: Fill in information:


Field

Description

Pipeline name

Descriptive name (e.g., "Hot prospects", "Active customers")

Pipeline color

Color for quick visual identification


Step 3: Validate


Pipeline is immediately created.



Name choice


Naming best practices


Effective name examples:

  • By status: "Prospects", "Customers", "Partners"
  • By temperature: "Hot", "Warm", "Cold"
  • By campaign: "Q1 2026 Campaign", "March event"
  • By objective: "Follow-up needed", "In progress", "Converted"


Recommendation: Choose clear name that immediately describes pipeline content.


To avoid:

  • ❌ Too vague names: "Pipeline 1", "Test"
  • ❌ Too long names: "Prospects contacted during Black Friday 2025 campaign following..."



Color choice


Color allows quick visual identification:

  • In Novalya CRM (Kanban interface)
  • On Messenger/Instagram (colored badge next to name)


Note: Today, pipeline = tag. Pipeline color is also tag color applied to contact.


Color strategies


By temperature:

  • 🔴 Red: Hot prospects
  • 🟠 Orange: Warm prospects
  • 🔵 Blue: Cold prospects


By status:

  • 🟢 Green: Active customers
  • 🟡 Yellow: Prospects in progress
  • ⚫ Gray: Archived


By priority:

  • 🔴 Red: High priority / VIP
  • 🟠 Orange: Medium priority
  • 🔵 Blue: Low priority



Automatically created stages


Upon creation, Novalya automatically adds 3 default stages.


Generic names:

  • Stage 1
  • Stage 2
  • Stage 3


What you can do next:

  • ✅ Rename stages
  • ✅ Add other stages
  • ✅ Reorganize stage order
  • ✅ Delete stages



Efficient pipeline examples


Example 1: Sales pipeline


Name: "Sales pipeline"

Color: Blue


Stages (renamed):

  1. Contacted
  2. Quote sent
  3. Negotiation
  4. Won


Result: Clear visual tracking of sales progress.



Example 2: MLM segmentation


3 created pipelines:

Color

Stages

Prospects

🟡 Yellow

Contacted → Conversation → Follow-up

Distributors

🟢 Green

Active → Training → Leader

Leaders

🔴 Red

Confirmed → Performing → Top


Result: Clear segmentation, quick color identification.



Example 3: Temporary campaign


Name: "Summer 2026 campaign"

Color: Orange


Stages:

  1. Interested
  2. Registered
  3. Participant
  4. Converted


Result: One-time action tracking, easy to identify and archive after.



Limits to know


Number of pipelines you can create depends on your plan:

  • Starter: 3 pipelines
  • Pro: 10 pipelines
  • Business: 25 pipelines


Quota is shared between Facebook and Instagram.



FAQ


Can I modify name or color after creation?


Yes. You can modify pipeline name and color anytime.


Can I create two pipelines with same name?


Yes, technically. But not recommended to avoid confusion. Rather use distinct names or add prefix (e.g., "FB - Prospects", "IG - Prospects").


Is pipeline created on Facebook AND Instagram?


No. Pipeline created in Facebook CRM exists only on Facebook. If you want same on Instagram, you must recreate it manually.


Can I delete pipeline after creation?


Yes. You can delete pipeline anytime.


Are 3 default stages mandatory?


No. You can delete them, rename them or add others according to your needs.
