How to add a contact to a pipeline (manually)?

Method 1: Add from contact profile


  1. Open contact profile (Facebook or Instagram)
  2. Click option to add to pipeline
  3. Select:
  • Pipeline (e.g., "Hot prospects")
  • Stage in this pipeline (e.g., "Contacted")
  1. Validate


Contact immediately appears in chosen pipeline.


When to use this method


  • After visiting prospect's profile
  • To quickly add someone you just discovered
  • Before even contacting them



Method 2: Add from Messenger (or DM)


  1. Open Messenger conversation (Facebook) or DM (Instagram)
  2. Click option to add to pipeline
  3. Select:
  • Pipeline
  • Stage
  1. Validate


Contact is added to chosen pipeline.


When to use this method


  • During or after conversation
  • To organize your CRM in real-time
  • After exchanging with someone new


Advantage: You stay in conversation context, it's quick and natural.



Method 3: Automatic addition via campaign


When you launch prospecting campaign (group, post, profile), you can configure automatic tags.


What happens:

  • Contacts reached via campaign are automatically added to CRM
  • With tags (pipelines) configured in campaign
  • At defined stage


Note: Today, tag = pipeline. Applying tag in campaign automatically adds contact to corresponding pipeline.



Add contact to multiple pipelines


A contact can be present in multiple pipelines simultaneously.


How to do it:

  1. Add contact to first pipeline (method 1 or 2)
  2. Repeat operation to add to second pipeline
  3. Repeat as many times as necessary


Concrete example:

Contact "Marie":
├─ Pipeline "Hot prospects" → Stage "Conversation"
├─ Pipeline "Q1 Campaign" → Stage "Contacted"
└─ Pipeline "VIP" → Stage "Regular follow-up"


Each pipeline can have different stage for this contact.



What happens after addition


Once added to pipeline:


In Novalya CRM:

  • Contact appears in chosen pipeline
  • In selected stage
  • With pipeline color


On Messenger/Instagram:

  • Colored badge (tag) appears next to name
  • Color corresponds to main pipeline
  • Tag name = pipeline name



Important: CRM accessible, smooth actions with Chrome


CRM remains accessible even if Chrome is closed.


However, for smooth interaction:

  • Google Chrome must be open
  • Your Facebook/Instagram session must be connected


Without Chrome open:

  • You can view CRM
  • But some actions may be slowed down



Usage examples


Example 1: Discovering qualified prospect


Situation: You're browsing group and find interesting profile.


Action:

  1. Open profile
  2. Add to "Hot prospects" pipeline
  3. Stage: "To contact"


Result: Contact saved in your CRM, ready for later follow-up.



Example 2: After good conversation


Situation: You just exchanged with someone on Messenger, it's promising.


Action:

  1. From Messenger conversation
  2. Add to "Hot prospects" pipeline
  3. Stage: "Conversation"


Result: Contact immediately organized in right context.



Example 3: Multi-pipeline addition for VIP


Situation: Very important contact you want to track closely.


Action:

  1. Add to "Customers" pipeline
  2. Also add to "VIP" pipeline
  3. Also add to "7-day follow-up" pipeline


Result: Multi-dimensional tracking, impossible to forget.



FAQ


Must I necessarily add contact to pipeline?


No. You can exchange with someone without adding them to CRM. However, adding allows structuring your tracking and not losing contact.


Can I add contact who isn't my Facebook friend?


Yes. You can add any contact with whom you have Messenger conversation or whose profile you see.


What happens if I add contact already in pipeline?


Nothing. Contact stays in current pipeline and stage. They're not duplicated.


Can I add multiple contacts at once?


No, manual addition is done contact by contact. For mass addition, use prospecting campaigns with automatic tags.


Can Instagram contact be added to Facebook CRM?


No. Facebook CRM and Instagram CRM are completely separate. Instagram contact can only be added to Instagram CRM.
